Alumni & Fundraising CRM

Framework Description

APUC's Alumni & Fundraising CRM framework appointed contractors to supply customer relationship management systems for alumni relations and fundraising, with associated services. It is a single-lot framework agreement for universities and colleges. The term ends on 19 March 2027 and there is no extension option, so the agreement has about five months left to run. This framework is used by APUC and SUPC.

Context & Use Case

Development and alumni relations offices use it when replacing a donor database or bringing supporter records, gift processing and campaign data into one system. CRM implementations run for years, so a contract called off before March 2027 may continue after the framework ends if its own terms allow. With a single lot, every appointed supplier can compete for each requirement.

Who Can Apply

Relevant to CRM vendors and implementation partners with experience of higher education advancement or charity fundraising. Suppliers not already appointed cannot join this framework. With the end date of 19 March 2027 close and no extension, the realistic route in is APUC's next CRM procurement for this market.

Buyer Benefits

Fundraising teams hold sensitive donor and gift data, so they value suppliers that have already passed checks on data protection and security. The framework lets an institution move to a new CRM without a full tender, and with a single lot it can compare appointed suppliers directly on functionality, migration approach and cost.

Next Steps

Appointed suppliers have until 19 March 2027 to win call-offs, so target institutions with ageing alumni systems now. Other suppliers should search Public Contracts Scotland (the original notice is NOV464519) and APUC's framework page for a replacement CRM framework, and prepare migration case studies and data-protection evidence before it is advertised.

How Athena Can Help

With this agreement close to its end, timing matters. If APUC re-procures, Athena's framework bid support would prepare your application, including case studies on data migration and donor-data security, and check it against the criteria before submission.

Appointed suppliers chasing final call-offs can use our bid writing service to set out clear outcomes for development offices. For CRM vendors new to public sector work, our support with public tenders covers bid/no-bid decisions and compliant pricing.
