Multifunctional Devices, GovPrint Hardware, Managed Print Provision and Digital

Live

Framework Description

Multifunctional Devices, GovPrint Hardware, Managed Print Provision and Digital (RM6361) is a framework, closed to new applications, from the Government Commercial Agency (GCA, formerly Crown Commercial Service). It covers print devices, print management software, managed print, digital workflow, GovPrint hardware and print consultancy for the whole UK public sector across five lots. The agreement runs from 12 August 2025 to 11 August 2029.

Context & Use Case

Central government, the wider public sector and the third sector use RM6361 to replace or rationalise multifunctional device fleets, take over existing devices, cut print volumes and move to digital workflows. It supports the Government Hubs Programme and estate rationalisation, and is a Department for Education approved buying option for schools, so call-offs range from a single school to a departmental estate. Buyers choose between direct award and a further competition.

Scope of Services

Lot 1: Multifunctional print devices (MFDs) and basic print management software Lot 2: MFDs with print management and/or digital workflow Lot 3: MFDs, print management and/or digital workflow Lot 4: GovPrint hardware, accessories and operational services Lot 5: Print consultancy services

Lots

Lot 1: Multifunctional Print Devices (MFDs) and Basic Print Management Software; Lot 2: Multifunctional Print Devices (MFDs) Print Management and/or Digital Workflow; Lot 3: Multifunctional Print Devices (MFDs), Print Management and/or Digital Workflow; Lot 4: GovPrint hardware, accessories and operational services; Lot 5: Print Consultancy Services

Who Can Apply

RM6361 suits device manufacturers, managed print providers, digital workflow specialists and print consultancies, but its membership is fixed. Firms not appointed cannot join before it is re-tendered, which is likely around August 2029.

Buyer Benefits

Buyers can replace or rationalise device fleets, take over existing devices and move to digital workflow through one agreement, choosing direct award or further competition. GovPrint-compatible hardware supports shared government hubs, and print consultancy under lot 5 helps buyers write specifications, evaluate tenders and audit their print estate.

Next Steps

Appointed suppliers should keep catalogues and pricing current for direct awards, and prepare case studies on print reduction and digital workflow for further competitions, including from schools. Other suppliers should follow the GCA page for RM6361 and GCA's upcoming agreements for the next print and document technology procurement before August 2029.

How Athena Can Help

Athena helps print and document technology suppliers on RM6361 win further competitions. Our print bid specialists build win themes around print reduction, device lifecycle and carbon savings, and model click charges and lease costs that win.

Suppliers outside the framework can use our framework search and pipeline planning to find other open routes, and our school and council tender support for print contracts let outside frameworks. We start with a bid/no-bid view on each opportunity.
