Framework Description

KCS Procurement Services' Audio Visual Solutions framework is a national agreement running from 1 August 2024 to 31 July 2028. It covers AV and interactive equipment with related services, support and maintenance, and buyers can either purchase equipment outright or lease it. It is a traditional framework, not a Dynamic Purchasing System, with call-offs by direct award or further competition.

Context & Use Case

Schools, colleges, councils, health bodies and other public organisations use it to kit out classrooms, meeting rooms, council chambers and public spaces. Projects range from replacing a few interactive panels to fitting out a building with video conferencing, audio and digital signage. Buyers choose direct award for straightforward orders and further competition where design and installation matter.

Who Can Apply

AV integrators, installers, distributors and manufacturers with public sector projects behind them. As applications are closed, it cannot take new suppliers before it ends on 31 July 2028; firms outside it should prepare for the replacement tender, which is likely to run during the first half of 2028.

Buyer Benefits

The option to lease rather than buy lets schools and councils spread the cost of an upgrade across budget years. A single route covering supply, installation and maintenance means one supplier is accountable for the finished room, and pre-agreed terms make it quick to order replacements when kit fails.

Next Steps

Appointed suppliers should promote leasing options to schools ahead of budget-setting, and keep installation case studies ready for further competitions. Others should track KCS for the successor framework from early 2028 and prepare evidence of education and public sector installs, accreditations and support response times. Check the KCS framework page for updates on the re-tender.

How Athena Can Help

For appointed AV suppliers, Athena can help win the further competitions: our bid content and pricing team builds design-led responses, scores you against likely rivals and prices leasing and purchase options carefully.

For firms not yet on it, we'd plan the 2028 re-tender response early and, in the meantime, use our framework entry support to get you onto AV and technology routes that are open now. Our public sector bid reviews make sure each submission is compliant and scores well.
