IT Hardware, ITAD & Associated Services

Live

Framework Description

KCS Procurement Services' IT Hardware, ITAD & Associated Services framework (Y26005) covers new, remanufactured and refurbished IT hardware and IT asset disposition (ITAD), from end user devices and AI hardware to infrastructure, consumables and peripherals. It has four lots, including a one-stop shop. Set up under the Procurement Act 2023 and approved by the DfE for schools, it runs from 14 November 2025 to 13 November 2029.

Context & Use Case

Councils, schools, NHS bodies and other public organisations use it to buy laptops, desktops and servers, take refurbished kit to cut cost and carbon, and dispose of old equipment securely with data destruction. The one-stop shop lot suits buyers who want supply, refurbishment and disposal handled by one provider across a device's life.

Who Can Apply

Suits IT resellers, manufacturers, refurbishers and ITAD specialists with public sector clients. Applications for this framework are closed, so firms not appointed cannot join until KCS re-tenders, likely around 13 November 2029. Appointed suppliers compete for buyers' orders within their lots.

Buyer Benefits

Buyers can source hardware refreshes through a pre-tendered route instead of running their own procurement. Including refurbished hardware and ITAD helps them meet sustainability targets and data protection duties, and the one-stop shop lot gives one point of accountability across the device lifecycle. Equipment can also be leased through KCS's Financial Leasing Solutions framework.

Next Steps

Appointed suppliers should respond quickly to buyers' requirements and highlight refurbished options and certified data destruction. Others should prepare for the re-tender expected before 13 November 2029: build public sector references, environmental and data security certifications, and lifecycle pricing. How Athena Can Help

Hardware orders are often decided on speed, price and evidence of secure disposal. Athena's quick-turnaround bid support helps appointed suppliers respond fast with clear pricing and sustainability evidence.

For firms outside the framework, our hardware framework applications service finds other IT supply routes open now, and our public sector sales bid advice plans your 2029 re-tender response, including which of the four lots fits your offer best and how to evidence refurbishment and secure disposal.
