Multi-Functional Devices and Digital Solutions

Live

Framework Description

KCS Procurement Services' Multi-Functional Devices and Digital Solutions framework is a national route for leased and purchased MFDs, inkjet printers and digital document solutions. It has three lots and runs until 16 June 2030. Call-offs can be made by direct award, rapid request for quotation or further competition. Its supplier panel was fixed at award; it is not a DPS.

Context & Use Case

Councils, schools, NHS bodies and other public organisations use it to replace printer and copier fleets, add print-room and wide-format devices, and introduce digital document solutions that reduce printing. Buyers can choose leasing or purchase, and pick a call-off route that suits the size of the order. Print rooms and wide-format devices are covered alongside standard A4 and A3 office machines.

Scope of Services

Lot 1: Leased and purchased multi-functional devices and associated services Lot 2: Digital solutions and associated services Lot 3: Inkjet printers

Lots

Lot 1: Leased and Purchased Multi-functional Devices and Associated Services; Lot 2: Digital Solutions and Associated Services; Lot 3: Inkjet Printers

Who Can Apply

MFD manufacturers, dealers, print management providers and digital document specialists. Applications for this framework are closed, so firms not appointed cannot join until KCS re-tenders, likely around 16 June 2030. Appointed suppliers compete through direct awards, rapid RFQs and further competitions.

Buyer Benefits

Three call-off routes let buyers act quickly on small orders and compete larger fleet contracts. The choice of leasing or buying helps with budgets, and including digital solutions supports efforts to cut printing and costs. Maintenance is available as an option, so devices can be kept working throughout the contract.

Next Steps

Appointed suppliers should target public bodies with print contracts ending and show savings and digital alternatives clearly. Others should prepare for the re-tender expected before 16 June 2030, with public sector references, security credentials and pricing models. Follow the KCS framework page for timetable updates.
