Framework Description
KCS's Records Information Management framework covers physical and digital records through six lots: storage, retrieval and destruction; document scanning and digital storage; information governance advice; content services platforms; cloud solutions; and secure IT asset recycling. Applications for this framework are closed (it is not a Dynamic Purchasing System), and it ends on 28 February 2027, with no extension option.
Context & Use Case
Councils, NHS trusts, schools and other public bodies use it to store and retrieve paper archives securely, scan records to cut storage costs, improve information governance, and move to cloud content platforms. Secure destruction and IT asset recycling meet data protection duties at the end of a record's or device's life.

Who Can Apply
Records storage firms, scanning bureaus, information governance consultancies, content platform and cloud providers, and IT asset disposal specialists. Applications for this framework are closed and it is near its end, so new suppliers cannot join; the successor framework is the opportunity.
Buyer Benefits
Public bodies hold large volumes of sensitive records, so they value suppliers already checked for security and data protection. Covering physical storage, digitisation, governance and cloud in one framework lets them plan a move from paper to digital with joined-up suppliers.
Next Steps
As the term ends on 28 February 2027, watch KCS's framework page now for news of the replacement. Prepare security accreditations, data protection evidence, chain-of-custody procedures and public sector references for your chosen lots. Appointed suppliers should check how long existing storage and service contracts can continue past the end date.
How Athena Can Help
Records management tenders are decided on security, compliance and service. Athena's compliance-focused bid writing sets out your controls, accreditations and chain of custody clearly, with pricing that holds up over long storage contracts.
Our bid/no-bid advice helps you choose among the six lots, and our information management framework search finds other routes open now, so you aren't relying only on the successor. We can also prepare lot-specific case studies and policies well before the tender opens.
