Provision Of Services For Events Framework Agreement

Live

Framework Description

South Ayrshire Council's Provision of Services for Events Framework Agreement is a multi-supplier, multi-lot framework for the services and equipment needed to stage Council events. Its ten lots run from security and site crew to marquees, generators, bus transport and traffic management, and suppliers could bid for one lot or several. The framework runs until 31 July 2030.

Context & Use Case

The Council hosts events of different types and scales that need several specialist suppliers working together on site: security, technical kit, toilets, power and lighting, temporary structures, buses and parking control. Rather than procuring each service separately for every event, it buys from the suppliers appointed to the relevant lot, which shortens planning lead times.

Scope of Services

Lot 1: Security Services Lot 2: Site Technical Equipment Lot 3: Site Crew & Event Infrastructure Lot 4: Sanitation Facilities Lots 5 and 6: Generators & Lighting Towers; Marquees (supply and installation) Lot 7: Bus Transport Lots 8 and 9: Traffic Management Equipment; Traffic Management Consultancy Services Lot 10: Car Park Management

Lots

Yes: Security Services (Lot 1), Site Technical Equipment (Lot 2), Site Crew & Event Infrastructure (Lot 3), Sanitation Facilities (Lot 4), Supply Delivery and Installation of Generators & Lighting Towers (Lot 5), Supply and Installation of Marquees (Lot 6), Bus Transport (Lot 7), Traffic Management Equipment (Lot 8), Traffic Management Consultancy Services (Lot 9), Car Park Management (Lot 10)

Who Can Apply

Suits event security firms, staging and technical companies, welfare hire, power and lighting suppliers, marquee contractors, bus operators and traffic management specialists. Applications for this framework are closed: suppliers not appointed cannot join until it is re-tendered, likely around 31 July 2030.

Buyer Benefits

Ten tightly defined lots let the Council go straight to a pre-vetted specialist for each part of an event, with security, traffic management and temporary structures already checked for competence. Event officers get confidence that safety-critical services are covered, and one procurement serves events of every size.

Next Steps

Appointed suppliers should confirm with South Ayrshire Council how call-offs are issued, keep insurances, licences and safety certification current, and respond quickly when events are scheduled. Other suppliers should review the tender listing to understand each lot's requirements, then build an event portfolio and safety documentation ready for the re-tender ahead of 31 July 2030.

How Athena Can Help

Event frameworks reward suppliers who can show safe, reliable delivery on the day. If you hold a lot on South Ayrshire's framework, Athena's competitive bid writing helps you win call-offs, with win themes and responses that stand up against other appointed suppliers.

If you are not on it, plan for the re-tender now: our public sector bid planning helps decide which of the ten lots to target, and our framework registration experts identify similar event frameworks that are open now or opening soon.
